In Year School Admissions
Please note school moves can be disruptive to your child’s education and should be a last resort.
The Admissions Team co-ordinate in year admissions (also known as in-year transfers) for all primary and secondary schools within Hartlepool and moving into Hartlepool. An in year admission is when a parent wishes to apply for a place at a school, that is not during the normal rounds of entry, which are entry into Reception (starting primary school) or entry into Year 7 (moving up from primary to secondary school). If you wish to transfer your child to a Hartlepool school, you will need to complete and return the in-year transfer application form.

THINGS TO CONSIDER BEFORE CHANGING SCHOOLS
Before completing the application form, please read the ‘Thinking of Changing Schools?’ information which is attached to the front of the form.
WHERE TO SEND THE APPLICATION
The application form can be returned by e-mail to: admissionsteam@hartlepool.gov.uk or posted / hand delivered to: School Admissions Team, Hartlepool Centre for Excellence in Teaching & Learning, Brierton Lane, Hartlepool TS25 4AF.
Please ensure you have discussed your intentions with your child’s current Headteacher and also asked the Headteacher to sign the transfer application form before returning.
HOW LONG DOES THE PROCESS TAKE?
2-3 school weeks - although this may be longer during busy periods and school holidays.
SCHOOL PLACE AVAILABILITY
Some schools will already be full. Any information you receive about availability of places is only valid at the time of enquiry, as we are unable to hold places. For school vacancy information, please contact the Admissions Team on 01429 284368 or e-mail admissionsteam@hartlepool.gov.uk.
Please note if a school has a vacancy when you enquire, you may not be offered that place if the vacancy is filled by an earlier applicant, or the school has a waiting list in operation.

YOUR CHILD’S INFORMATION
Once you have been offered a place, your child’s current school will share information about your child with their new school. This is to ensure that any necessary support is in place before your child’s start date. This may include sensitive information. For more details about the type of information schools may share please read the privacy notice of both the current and new school, which will be available on their website. If you have any concerns about how information will be shared please contact your child’s current school.
APPEALING A DECISION
If your child cannot be offered a place you will be informed of your right of appeal and waiting list options. Waiting lists are ordered in accordance with the school's published admission criteria and there is no guarantee a place will become available via a waiting list.
CHILDREN WITH SPECIAL EDUCATION NEEDS
If you child has an Education, Health and Care (EHC) Plan, please contact the Special Educational Needs Team on 01429 523553 or e-mail sen@hartlepool.gov.uk. The Admissions Team only deal with mainstream school applications.
FAIR ACCESS PROTOCOL
We are required by law to operate a Fair Access Protocol for children without a school place, to ensure that ‘vulnerable’ or ‘hard to place’ children can quickly access school places and that all schools admit a fair share of these pupils, who for a variety of reasons need more support. ADDRESS OF UK SERVICE PERSONNEL AND CROWN SERVANTS
If you are employed as UK service personnel or crown servant, please provide an official letter from one of the following:
- Ministry of Defence (MOD)
- Foreign and Commonwealth Office (FCO)
- Government Communications Headquarters (GCHQ)
The letter must give your relocation date and a unit postal / quartering address in Hartlepool, which will allow your application to be processed in advance of your move and a school place offered (as long as it is within a reasonable time).
